Use Cases

Examples of where this can be useful

A volunteer, a board member, or someone who just signed up should not have to copy a time into their phone. They pick the calendar they already use, and the event is waiting there.

Volunteer training

After they confirm a shift, the training time, room, and what to bring land on their calendar before they close the page.

Board meetings

Directors add the next meeting from the agenda page—date, location, and a link to the packet—without an email hunt later.

Event signups

A registration confirmation ends with one button. The calendar entry uses the event they just chose, not a generic reminder.

Appointments

Intake, counseling, or site visits: the person walks away with the time and address already on their calendar.

Orientations

New staff, foster families, or program participants save the welcome session the moment they finish signing up.

Open houses and tours

A campus visit or program tour stays on their calendar, with the meeting spot written in.

The details

Written once, or filled from Salesforce

The person clicking the button sees the same thing either way. You decide where the title, time, and place come from.

The same event every time

Type the title, start, place, and a short note once. Every visitor gets that event—useful for a standing training, an annual meeting, or a public open house.

From any Salesforce record

Pull the date from a Campaign, a Contact’s next visit, a volunteer shift, or a custom object. It does not have to be a Salesforce Event. If the screen already knows the record, the button can use it.

What they pick

Their calendar, not a new account

Google, Outlook, or Yahoo

The event opens already filled in. They confirm it in the calendar they use for everything else.

Apple Calendar

A file downloads, and Calendar on a Mac or iPhone offers to add it.

A file they can keep

Anyone else can save the same calendar file and open it in whatever app they prefer.

How it works

Links for the online calendars. An .ics file for the rest.

The button builds one event from the title, time, and place you pass in from a Screen Flow, a record page, or a public site. The record does not have to be a Salesforce Event. Google, Outlook, and Yahoo use a link. Apple Calendar and every other calendar use an .ics file.

Online calendars open a link

Google Calendar, Outlook, Outlook.com, and Yahoo Calendar do not download a file. The click opens a link to that service. The title, start, end, place, and note are already filled in. They confirm the event in the calendar they already use.

Apple and other calendars use an .ics file

Apple Calendar and Download calendar file both download event.ics. That file is iCalendar, with METHOD:PUBLISH: one event to add, not a meeting invitation. Calendar on a Mac or iPhone offers to add it. Any other app that opens an .ics file can use the same download.

The file carries the title, start, and end, plus the place, description, and link when you supply them. An all-day event is stored as dates. A timed event is stored in UTC. Leave the end blank and a timed event lasts one hour. The screen also outputs the calendar file text and the name event.ics, so a later step can store it or send it. Pass the Event UID from Send Email with Calendar Event when this download should be the same event as the confirmation email.

Also by email

When the event should arrive in their inbox as well, pair this button with Send Email with Calendar Event. Same occasion, two ways to keep it.
